Student email is moving to Microsoft 365

In order to standardize communication methods across the CIA Campus Student email and Calendars will move from Google to Microsoft 365 beginning June 1, 2024.

CIA faculty and staff have been using Microsoft 365 for years and having students on the same system will allow more streamlined communication.

 

Google Drive is Staying

Students, Faculty, and Staff will continue to have access to Google Drive.

 

These FAQs will be updated as necessary.

  • Why are we moving from Google to Microsoft 365?
    • Establishes a common e-mail environment.
    • Incorporates industry-leading security standards.
    • Workforce readiness with experience in the M365 suite.
    • Currently, students use a different email platform than faculty and staff. That leads to issues with calendaring, address books, and spam filtering. Having all students, faculty, and staff on the same email platform will allow students to make appointments more easily with faculty and staff.

  • When will the migration to Microsoft 365 take place?
    • June 1, 2024
  • Will my email address change?
    • Students will receive emails sent to username@cia.edu and username@student.cia.edu.
  • How do I access Microsoft 365?
    • Login with username@cia.edu (more details will be provided)
    • Multi-Factor Authentication (MFA) will be required. Instructions and details TBD
  • Will my existing emails and calendar events be transferred to Microsoft 365?
    • Emails will be transferred. Details on Calendar events TBD. Timeline TBD
  • What happens to my Google Drive files and documents?
    • Google Drive files and documents will not be affected by the change of email and calendar systems. Whether changes occur in the future will be based on an audit of current CIA usage after the email and calendar changes have been made.
    • Can I still use the Gmail and Google Calendar apps on my phone? Gmail and Google Calendar services will no longer function with your CIA account. Personal accounts will not be affected by this change.
  • Will I have access to Microsoft Office applications with Microsoft 365?
    • Yes
  • Can I set up my Microsoft 365 email on an email client of my choice?
    • Yes- based CIA-implemented security policies
  • Where can I get help if I encounter issues with Microsoft 365?
    • Requests for help can be made in person at the Help Desk room 116 or online at support.cia.edu

Who does this impact?

  • Students will be directly affected by the change. Their email and calendar will no longer use or connect to Google.
  • Faculty and Staff Google Calendars will no longer be available.
  • Details for transfer of previous email is TBD (To Be Determined).
  • Faculty and staff will no longer have access to Google Calendars and may see differences in how they communicate and schedule with students.

What is changing?

  • Google calendar and Gmail will be disabled for students. 
  • Google Calendar will be disabled for Faculty and Staff. 
  • Everyone with a CIA account will now use the same email and calendar system.
  • Students will receive emails sent to username@cia.edu and username@student.cia.edu 
  • Student Usernames remain the same.

Timeline

  • August 2023: Announce Change

  • December 2023: Provide More Details for Email/Calendar Transfer

  • May 31, 2024: Google accounts and Adobe Accounts are disabled for graduating students

  • May 31, 2024: Google email accounts will be transitioned to M365 for underclassmen. Google Docs and Drive will be retained.

    • Scheduling in-person meetings will benefit from the shared calendar and email experience.
  • How will shared calendars and resources be impacted by the student migration to Microsoft 365?
