Electronic mail is the official mode of communication at the College. The College provides each of its employees with a CIA e-mail address. It is the responsibility of all employees to check and respond to their e-mail and voice mail in a timely manner.

9.1 Email, Internet, Computer Information Systems and Other Electronic Communications

All computer equipment, software programs, and any documents made using the software in the course of business at the Cleveland Institute of Art are considered the property of the College. Employees should use the voicemail, electronic mail, internet access, and other information systems of the College for CIA business use only, and they are not to be used in a way that may be disruptive, offensive to others, or harmful to morale.

There is to be no display or transmission of sexually explicit images, messages, cartoons, or any other transmission or use of electronic mail communications that contain ethnic slurs, racial epithets, or anything that may be construed as harassment or disparagement of others based on their gender, gender identity, sexual orientation, genetic information, race, color, religion, national origin, age, mental or physical disability, military status, veteran status, or any other characteristic protected by law. The only exception to this rule is when there is clear intent of artistic expression.

The electronic mail system cannot be used to send or receive copyrighted materials, trade secrets, proprietary information, or similar materials without prior and appropriate authorization.

All electronic and voice mail messages are the College’s records. The College reserves the right to access, monitor, and disclose all information stored or transmitted over its computer systems including without limitation its electronic mail system for any purpose. Employees should not attempt to gain access to another employee’s file of electronic and/or voicemail messages without the latter’s express permission. However, the College reserves the right to enter any employee’s electronic and voice mail files whenever there is a business and/or legal need to do so.

Violation of this policy may result in appropriate corrective action, up to and including termination. Legal action may be taken as appropriate.
